Google User Data Notice
BenchAGI · Effective 2026-10-29
1. What this notice covers
Aerone Inc. (doing business as Bench or BenchAGI, “we” or “us”) lets you connect your Google account to Bench. This notice explains what Bench receives from Google when you connect Gmail, Google Calendar, Google Drive, Google Sheets or Google Meet, how Bench uses it, and how to remove it.
It adds to our Product Privacy Policy, which still applies, and to your organization’s agreement and our Data Processing Addendum. Where this notice is stricter about Google user data, this notice governs.
2. Our commitment
Bench’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. The use of information received from Google Workspace APIs will also adhere to the Google Workspace API User Data and Developer Policy.
3. What we receive, and only when you connect it
You connect a Google account by signing in with Google and approving the access shown on Google’s screen. We never receive your Google password. Each connection asks only for what its feature needs:
- Your Google identity: your name, email address and profile picture, to show which account is connected.
- Gmail: the messages, threads and attachments in your mailbox, so Bench can show, search and organize your email in Bench, link conversations to your customers, and draft replies. If you also connect sending, Bench sends only the emails you or your workspace’s rules approve.
- Google Calendar: your calendars and events, so Bench can show your schedule, check availability and create or update the appointments you book in Bench.
- Google Drive and Google Sheets: the files and folders you choose to allow, and the spreadsheets you map, so Bench can read job documents and photos and your tracked numbers. Bench changes a spreadsheet only if you separately allow it to keep that spreadsheet up to date.
- Google Meet: meeting details and the recordings, transcripts and notes Google Meet saves to your Drive, so Bench can prepare meeting notes and follow-ups.
4. How we use it
Only to provide and improve the Bench features you use that show or act on this information: your inbox, customer conversations, drafts, scheduling, documents, tracked numbers, and meeting notes. Bench’s AI agents use it in your workspace to answer your requests and prepare work for you. To do that, the relevant part can be sent to Anthropic or OpenAI, subject to the AI data sharing permission in Account → Privacy. Our agreements and account settings with Anthropic and OpenAI do not allow them to train their models on it.
We do not:
- sell Google user data;
- use or transfer it for advertising, including retargeting and personalized or interest-based ads;
- transfer it to advertising platforms, data brokers or other information resellers;
- use it to decide creditworthiness or for lending;
- use it to create, train or improve generalized or general-purpose AI or machine learning models; or
- share it with other Bench customers.
5. Who can see it
People in your workspace see it as your workspace’s access settings allow. Bench staff do not read your Google user data unless you ask us to and agree that we may look at specific messages or files, it is needed for security (for example, to investigate abuse or a security incident), or the law requires it. We may use aggregated information that does not identify you or anyone else to run Bench.
We transfer Google user data to others only to provide or improve the features described above, for security, to comply with the law, or as part of a merger, acquisition or sale of our business with your prior consent. Our service providers for hosting and storage are listed on our Sub-processor List.
6. Storage and security
We store Google user data in the United States in Bench’s Google Cloud/Firebase services. Google access tokens are encrypted (AES-256-GCM), are read only by Bench’s servers, are never shown to anyone, and are not written to logs.
7. Removing access and deleting data
You can disconnect individual Google connections in Bench from Account. Disconnecting one feature does not necessarily disconnect other features using the same Google account. To remove all of Bench’s access to that Google account, remove Bench in your Google Account settings.
Information Bench already copied into your workspace, such as email linked to a customer, is kept and deleted as the Product Privacy Policy and your organization’s agreement describe. To have Bench delete the Google user data it holds for you sooner, email privacy@benchagi.com. We may need to confirm your identity and authority, and we will tell you when the deletion is done.
8. Changes and contact
We will post updates to this notice with a new effective date, and we will ask for your consent again before using Google user data in a new way.
